TO: UCEAP inbound exchange participants (Reciprocity students) fall 2013
 
The US Department for Homeland Security (DHS) is changing procedures to require U.S. Customs and Border Protection (CBP) inspectors to verify each student’s status before admitting them in the F-1 or J-1 category. International students may be sent to secondary inspection for further verification.
 
This security measure is expected to cause delays for international students seeking entry into the US. We recommend that you plan accordingly to allow for enough time for secondary inspection if you will have domestic connecting flights before reaching your final U.S. destination.  
 
Travel Documents
 
Travel with the following documents. Keep these with your personal belongings in the plane; do not pack them in your luggage.
a)    DS 2019 form
b)    Valid US visa stamp in passport
c)    Current passport (valid for a minimum of 6 months)

Access the most current information about Reciprocal Exchange students’ application status and participation through the following online tools:
 
I.              Application Status Confirmation Notices status confirmation.doc
II.             Student List Student list.xls
III.            Participation by Term List participation by term.doc
 
The UG Application Status Confirmation Notices and the Student List are a reflection of the ongoing review and placement process of the applicants. Applications are generally processed in the order in which they have been received. 
 
Note: Not all of your students may have a placement status when you first check, as applicants in certain majors may be reviewed separately or may require approval from a UC office outside of EAP.

 

I. UG Application Status Confirmation Notices
Go to the Study Center Portal (the same page you use to release the online applications). Notices can be viewed and/or printed by the primary account user in your office.
To view the students’ UC campus placement and any omissions or problems with the applications from your institution, select Reciprocal Exchange StudentsStudents’ status is noted in the upper right-hand corner of the confirmation. Students should respond to the following sections:
   Required Transcripts
   Other Required Documents
   Required Financial Documentation

We suggest that you provide each student with a copy of their notice.
, then ReportsUG Application Status Confirmation on the left side of the menu bar.
To print or save the confirmations as a batch, click the "To Word" link.
To print or save a single notice, click the "Print" link in the upper left-hand corner of an individual student's confirmation.
Placement statuses indicated on the application status notices:

Finalized by UOEAP = Approved for participation

Pending:
  • Pending: Campus Approval
  • Pending: College/Dept Approval
  • Pending: ESL = Application is missing ESL scores
  • Pending: Documentation = Application is missing information needed for the review/placement process (e.g., transcripts, A-levels, prerequisites, undocumented gap in education, etc.)

II. Student List
The information on the Student List is a reflection of ongoing application processing activity. All students will not necessarily appear on the list the first time you view it. Check the list periodically for changes in status, CPID numbers, and a listing of missing documents. 
To review the Student List, go to the Study Center Portal, select Reciprocal Exchange Students
CPID numbers: The CPID number is the system-wide University of California (UC) ID number associated with a student’s UC application.  CPID numbers are assigned when a student’s data are transferred to UC from EAP. Campus-specific ID numbers will be assigned at a later time. 
, then Reports –Student Liston the left side of the menu bar.
If a student on the list has not been assigned a CPID number, check back later. Students may be asked by their host UC campus to use the CPID number in various applications (initial account logins, housing application, etc.) so it should be kept confidential and not shared with anyone except the student. 
NOTES on Financial Documents: The IsFinDocComplete column indicates whether or not the financial requirement has been metStudents who are Unplaced will be coded as “No” as their financial requirements have not yet been determined. 

NOTE for Locations with ESL Requirements:  The ESLScore column includes the ESL scores received to date. If you note that a score should be recorded as received, contact us at uc-reciprocity@eap.ucop.edu .

Please DO NOT assume that a score must be re-ordered from TOEFL if noted as incomplete.  There is an additional fee for reissued reports and we do not want students to request another score if it is not necessary. 

 

III. Participation by Term List
Access the most current information about your students attending UC through this new online list. Check the Participation by Term list periodically for changes in duration and participation status (e.g., withdrawals). 
To review the Participation by Term, go to the Study Center Portal, select Reciprocal Exchange Students
